Who we are
HireTale (“HireTale”, “we”, “us”, “our”) provides an applicant-tracking-system (ATS) add-on for Google Sheets™, operated by Edu Angles India Private Limited, Jaipur. This Privacy Policy explains what information we collect when you install and use the add-on and our related website and billing, how we use it, who we share it with, and your choices. Plain-language summary
The candidate records you keep in your spreadsheet stay in your own Google account. We do not copy them into our analytics or marketing systems, and we do not sell them.
One important exception: if you use the resume-parsing feature, the resume you submit is sent to our parsing provider, HRFlow.ai, which extracts structured fields and returns them to your sheet. Don’t use that feature for resumes you’re not permitted to share with a processor.
To run the service we do collect and store some account, usage, and billing information (detailed below), using a small number of trusted service providers (Google Cloud, HRFlow.ai, Stripe, Mixpanel).
To deliver the column-protection and automation features, you grant our service account ats(at)hiretale(dot)com editor access to the specific spreadsheet you install on. This means our service identity can technically access that spreadsheet’s contents; we use that access only to operate the features you enable.
We never sell your data, never use it for advertising, and do not use Google user data to train generalized AI/ML models.
This summary is for convenience only; the sections below control.
Information we collect
(a) Account & identity. The Google account email address of the person who installs the add-on (the recruiter / spreadsheet owner). Used as your account identifier and for support and service communications.
(b) Spreadsheet & license metadata. The spreadsheet (Drive file) ID of each spreadsheet you install on, your plan tier (free / Pro / Scale), install state, remaining parse credits, and the number of spreadsheets associated with your email (to enforce the free-plan limit). Stored in our backend (Google Cloud Firestore, United States).
(c) Product usage / telemetry. We use Mixpanel for product analytics. We send a one-way SHA-256 hash of your email as a pseudonymous identifier (not your actual email), your spreadsheet ID, the add-on version, your plan tier, and event names describing actions you take — for example: installing, adding or updating a candidate/interview/selection record, importing a CSV (with counts only), parsing a resume (event only), opening the sidebar, viewing upgrade options, and starting checkout. We do not send candidate names, emails, phone numbers, resume content, or any spreadsheet cell contents to our analytics provider.
(d) Billing information. If you purchase a paid plan or credit pack, payment is processed by Stripe. Stripe collects your name, billing address, and payment-method details directly; we receive and store Stripe customer/subscription identifiers and your subscription status — we do not store full card numbers.
(e) Candidate / recruitment data you enter. Names, email addresses, phone numbers, interview records, selection/offer records, notes, and any custom fields you add. This data is stored in your own Google Sheet, within your Google account. For this data, you are the data controller and HireTale acts as your processor, handling it on your behalf and on your instructions to deliver the service.
(f) Resume / CV parsing data. When you use the resume-parsing feature, the resume file or its contents is transmitted to our parsing provider, HRFlow.ai, which extracts structured fields (such as name, contact details, work history, and education) and returns them so the add-on can populate your sheet. HRFlow.ai processes this data as a service provider, under its own privacy policy. Resume content is sent only when you invoke this feature; manually entered data is not.
(g) Support communications. If you contact us, we keep your messages and contact details to respond and keep records.
How we use information
We use the information above to: operate and secure the add-on; perform the spreadsheet actions you initiate; parse resumes you submit; apply and maintain the column-protection feature; manage your plan, enforce plan limits, track parse credits, and process payments; provide support; understand aggregate product usage to improve the service; send you service-related notices (e.g., subscription status, important changes); and comply with legal obligations. We do not use your information for third-party advertising, and we do not sell it.
How the add-on accesses your Google data, and Limited Use
The add-on requests only the Google permissions needed to function — to read and write the spreadsheet you install on (so it can manage candidate records and apply protections), to run its scripts and connect to our billing/licensing backend, and to read your account email address to identify your account.
Service-account editor access. To deliver the column-protection feature, write actions are routed through a HireTale-controlled component that runs as ats@hiretale.com, and that account is added as an editor on the spreadsheet you install on. As a result, our service identity has technical access to that spreadsheet’s contents. We use this access solely to operate the features you enable. You can remove this access at any time (see point 7).
Transfers to deliver features. Where a feature requires it, we transfer data to the service providers in point 4 solely to provide that user-facing feature — for example, sending a resume to HRFlow.ai to parse it. We do not transfer Google user data for any unrelated purpose.
Google API Limited Use. HireTale’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:
we use Google user data only to provide and improve the user-facing features of the add-on;
we do not transfer or sell Google user data for advertising, credit-scoring, or other unrelated purposes;
we do not allow humans to read Google user data, except (i) with your explicit consent (e.g., to resolve a support issue you raise), (ii) where required for security, to investigate abuse, or to comply with law, or (iii) where the data has been aggregated and anonymized; and
HireTale does not use Google user data to develop, improve, or train generalized or non-personalized AI/ML models.
Service providers (sub-processors)
We share information only with providers that help us run the service, under contracts that limit their use of it:

Data sharing and disclosure
We do not sell your personal information. Beyond the service providers in point 4, we may disclose information only: (a) to comply with applicable law, regulation, legal process, or enforceable governmental request; (b) to enforce our terms, or protect the rights, safety, and security of HireTale, our users, or the public; or (c) in connection with a merger, acquisition, or sale of assets, in which case we will require the recipient to honor this Policy or notify you.
International data transfers
Your information may be processed outside your country — including in the United States (our Google Cloud backend, Stripe, and Mixpanel) and where HRFlow.ai processes resume data.
Retention and deletion
Account & license metadata (point 1b) is retained while your account is active and for 3 years thereafter, unless a longer period is required by law.
Analytics data (point 1c) is pseudonymous and retained per our analytics provider’s defaults.
Resume content (point 1f) is sent to HRFlow.ai only to return parsed fields; its retention by HRFlow is governed by HRFlow’s policy. The parsed fields written to your sheet are part of your candidate data (below).
Candidate data (point 1e) lives in your Google Sheet — you control its retention and deletion directly in your Google account.
To revoke access: Uninstalling the add-on removes its permissions. To fully revoke our access to a spreadsheet, you must also remove
ats@hiretale.comas an editor via the spreadsheet’s Share dialog — uninstalling alone does not remove that editor.To delete the account/license records we hold, email ats(at)hiretale(dot)com and we will delete them within a reasonable period, subject to legal retention requirements.
Your rights
Depending on where you live, you may have the right to access, correct, update, delete, port, or restrict processing of your personal data, and to object to certain processing. For candidate data you store in your Sheet, you exercise these directly in Google; for data we hold (point 1a–d, g), contact ats@hiretale.com. California residents: we do not sell or “share” personal information as defined by the CCPA/CPRA, and you may exercise your rights without discrimination.
Security
We use industry-standard measures to protect information, including encryption in transit (TLS), least-privilege access, and per-installation secrets for backend authentication. No method of transmission or storage is 100% secure, but we work to protect your information and to limit access to it.
Children
The add-on is a business tool not directed to children. Do not use it to store data about individuals where doing so would be unlawful without appropriate consent.
Changes to this Policy
We may update this Policy to reflect changes in our practices or legal obligations. For material changes we will notify the registered account email. The “Last updated” date reflects the latest revision.
